Custom ERP vs. off-the-shelf software: which one fits your SMB?

Running your business on spreadsheets and WhatsApp works… until it doesn't. When generic software is enough, when custom wins, and how to decide.

Most SMBs in LATAM operate the same way: orders via WhatsApp, inventory in Excel, invoices in another system, and "the accountant handles the books". It works — until the business grows and typos, lost orders and hours of duplicate data entry start costing real money.

What generic software solves

Tools like standard accounting suites or off-the-shelf CRMs are excellent at what they were designed for: accounting, electronic invoicing and basic client management. If your operation is standard, start there. They are cheap, fast to implement and require no developers.

Where they fall short

  • Your workflow is not standard: you produce on demand, manage distributors with differentiated pricing, or your sales cycle has its own stages.
  • You need several systems to talk to each other and end up typing the same data 3 times.
  • You want to give your clients a portal where they see their order, project or account status without messaging you.
  • The reports you need to make decisions do not exist in the tool, so you live exporting to Excel.
